Workshop Formulation Steps:

Training

Training with Image Matters Limited (Image Matters) is a systematic process which ensures that workshops are successful and results-oriented. The level of collaboration needed from clients is determined by the particular workshop offered and the level of company specific information that needs to be transferred to participants.

Below outlines some Workshop Formulation Steps:

Preliminary Consultation:
A needs assessment questionnaire can be given to clients prior to consultation to enable the client to think about what they would like to accomplish from the training and to identify any performance gaps. A representative of Image Matters will meet with the client to collectively discuss which of these performance discrepancies can be eliminated, as well as training objectives and instructional goals.

Assessing Training Needs:
At times direct observation of participants is required in order to gain a better insight into determining the training required to achieve the client’s goals. This is particularly important with fast-food and quick-service restaurants. A questionnaire may be given to participants to gain a better understanding of their expectations of the training session. Meetings with supervisors of participants or the ‘learner’ group themselves can also be held. It is at this level that the trainer can adequately assess the participant’s knowledge, characteristics, skills and attitude, thus formulating a learner audience profile to appropriately tailor the workshop.

Provision of Design Brief & Quotation:
This is an itemized statement that identifies the training objectives, topics being covered, and the number of workshops, their duration, assessment strategies, pricing specifics and the timeline to achieve these goals.

Signing of Contract:
No contract is signed unless the client is satisfied with the training plan. Once approved, immediate action is undertaken by Image Matters with the preparation of participant and learner guides and training tools.

Pre-training Communication:
As most training workshops are customized to suit client needs, communication between the two parties will be required in order to collaborate and gather company specific information. Image Matters regards all client information as highly confidential and will never divulge or share ideas or concepts with other clients.

We encourage support from clients with this step as this will determine the level of company specific information imparted during training and whether training timelines are met.

Workbook Submission and Approval:
All participants will be given a workbook with handouts, a certificate and in most instances memorabilia of their training session. Clients are given a preview of this workbook, trainer programmes and activities which can be modified if client desires. Remember the client is a customer of Image Matters whose satisfaction is paramount.

Supply Confirmation:
A final meeting is held with client to confirm the provision by client (depending on contract) of certain training requirements such as boardroom facilities, coffee breaks, and audio-visual equipment. This assures a smooth flow on the day of training.

Training Implementation:
Training may be conducted in-house or at a training facility external to the client dependant on client requirements and needs.

Participator Feedback & Summative Evaluation:
Participants are usually asked to complete a feedback questionnaire so we can determine whether the training session met expectations and ways it may be improved. Summative evaluation is the process of collecting data following implementation of a training class in order to determine its effectiveness (how well it meets training goals). This is particularly useful when the workshop is standardised for a company’s use over an extensive period of time. This stage measures the learner’s reaction and perception of the course.

Follow-Up:
In most instances participants can contact Image Matters for advice or additional information relating to their training workshop. We have an open communication policy and welcome continued contact. Information may have been requested by participants during the workshop that was not presented, and it is during this step that the information will be provided.

Evaluation:
Evaluating participants can be measured via their learning (knowledge, skills and attitude changes), behavioral changes and results. The various instruments used to collect this data are questionnaires, surveys, interviews, observations (mystery shopping) and tests. Participants or those closely associated to them such as a supervisor will be involved at this stage. Measuring the attainment of training objectives and the ROI is calculated.

Training Report:
Evaluation data is collected, analysed and a written report generated. Image Matters prides itself with providing clients with constructive feedback following any training session which may be qualitative or quantitative in nature depending on the resources available. Pictures of the memorable training workshop are taken and sent to client and participants for personal or office board display.

Feedback from clients is welcomed to ensure the quality of our service.

Continued support from Image Matters Limited!
